makobdayexchange: (2015)

Assignments for the 2015 Makoto Birthday Exchange are due in a little over 12 hours from the time of this posting.

COUNTDOWN CLOCK

Congratulations and thanks to everyone who has finished and posted!

Good luck to everyone still working on it!

As mentioned in the guidelines, you will be able to edit/refine/polish your work after posting -- we just need a completed piece by the deadline, so we know which assignments need pinch hitters.

If you need an extension of a day or two, please email us (sallynotsally @ gmail dot com).

Hello!

This is just a quick reminder that the Fan Works Due Date, November 4th 2015, 11:59 PM PST, for Makoto's Birthday Exchange is fast approaching!

You can see what time that is, around the world through our count down clock available here!

Thank you so much to everyone who's gotten their fanworks in early!

Please note, anyone who has not posted a complete fill or requested an extension by the deadline will be defaulted. (Additionally, if you default and the person writing/drawing for you also defaults, your requests will not be sent to a pinch hitter.) You can contact the moderators through the email address sallynotsally @ gmail.com

You'll still be able to edit your story/refine your art, after this deadline - it's just we want to make sure that there's something for everyone who's completed their assignments, and ensure that our pinch hitters will have enough time to be able to complete their own works.

If you've already completed your exchange assignment, and are looking for something to do, why not check out Party Favours - a free for all bonus round or sign up as a pinch hitter here?

Best of luck!

Hi, everyone!

Here are some useful posts for your review, if you haven't read them yet:
While we hope no one will have to drop out, we understand it's unavoidable in some cases. In other cases, though, an extension of a few days might help. If you think you need an extension, please email us before the posting deadline on November 4 to request one.

Anyone who has not posted a complete fill or requested an extension by the deadline will be defaulted. (Please note that if you default and the person writing/drawing for you also defaults, your requests will not be sent to a pinch hitter.)

Let us know if you have any questions or problems. Good luck and have fun!
makobdayexchange: (2015)

Hi, everyone!

The deadline for the 2015 Makoto Birthday Exchange is coming up in just under two weeks, on November 4th (Pacific Time):

countdown clock to the deadline

We hope those of you who signed up this year are having fun with your assignment, no matter what stage you’re at in the creation process. :D

While we hope no one will have to drop out, we understand it’s unavoidable in some cases. If you need to, instructions on how to do so are included in the Posting Guidelines.

There is no last day for dropping out (everyone who hasn’t posted a completed fill that meets the Assignment Guidelines will be defaulted after the posting deadline). However, as a courtesy to the pinch hitter who picks up your assignment, sooner is better than later once you know you definitely can’t finish.

If you are in a situation where an extension of a day or two might help, please email us and we’ll work something out.

In any case, good luck and have fun!

makobdayexchange: (2015)

Hi, everyone!

The deadline for the 2015 Makoto Birthday Exchange is coming up in less than four weeks, on November 4th (Pacific Time):

countdown clock to the deadline

We hope things are going well for those of you who signed up this year! Here are some resources that might be useful:

Also, if you haven’t read the Assignment Guidelines yet, please take a moment to review them and let us know if anything is unclear.

  • Please note that while you are welcome to do multiple fills, the minimum requirements apply to a single fill. For example, if you write two fics for your recipient, one of them must be at least 1000 words.

Instructions on how to drop out are included in the Posting Guidelines. While we’re hoping no one will have to do so, we know it’s unavoidable in some cases.

In other cases, though, an extension of a day or two might help. If that applies to you, please email us and we’ll work something out.

Good luck and have fun!

Here you will find links to "Dear Creator" letters for the 2015 exchange.

If you didn’t link to one during sign-ups and would like to now, just leave a comment with the following information and we'll get you added:
  • AO3 name
  • Link to letter
All requests will be made public on AO3 on October 1st so that anyone who wants to can give a "party favor"/extra fill. If you said everything you wanted to in your sign-up, you're all set (but you're also welcome to add a letter anyhow). :D

Assignments are currently being sent through AO3 and should show up shortly in your email as well as in “Assignments” on your AO3 dash (left-hand menu). If you don’t see it in either place in the next few hours, let us know and we’ll resend it.

Posting Guidelines are coming soon. In the meantime, some important notes:

  • Due Date = November 4, 2015

Assignments are due on November 4th. This date is listed correctly on AO3, DW, tumblr, and the countdown clock.

Unfortunately, the letter that went out with assignments erroneously says November 5th for some or all of you. Super sorry for any confusion that may cause! (I foolishly didn’t check that the edits to the letter had saved before I hit the “send assignments” button. orz)

  • Please don’t despair about your assignment…

Assignments were generated automatically by AO3 (and checked manually by two of us) based on these criteria:

  1. the characters requested/offered
  2. the type of fill requested/offered

In many cases, you only match on one request — and one is all you need to fill.

Hopefully the system did a good job and you like what you got! But if not, read on.

If the system made a mistake with characters or type of fill, please let us know immediately (comments are screened) and we’ll get it sorted.

Please read the Assignment Guidelines for more information.

  • Please don’t despair even if you hate your assignment.

If the system matched you fairly but you don’t like the assignment you got, please remember that you do not need to fill a specific prompt.

You only need to do a fill of the type requested, using the characters requested. All other details are optional, including relationships and nsfw content/rating.

Some people put their general likes/dislikes in their “Dear Creator” letter – so if your recipient included a link, be sure to check that out.

In the spirit of Makoto swimming in the ocean in Season 1, it would be great if you could do your best. But if you simply cannot, please default through AO3 as soon as possible, so we can give the pinch hitter who picks it up as much time as possible.

In any case please note that if you drop out and the person drawing/writing for you also drops, your requests will not go to the pinch hitter list.

A special thanks to everyone who has been with us for the exchange before, and an equally special thanks to everyone joining in for the first time this year. Let’s all do our best and have a lot of fun together! :D

makobdayexchange: (2015)

Hi, everyone!

Here’s an update on where we are:

  • Matching is almost done and assignments should go out on time (within 24 hours from the time of this post). Announcements will be made on tumblr and DW when they do.
  • Posting Guidelines will go up soon, as well as more information about dropping out.
  • Pinch Hitter Sign-ups are still open, and will remain so for the duration of the exchange. For more information and to join the pinch hitter list, go here. (You do not need to be signed up for the exchange to be a pinch hitter.)

Please look forward to getting your assignment soon. :D

And as always, let us know if you have any questions.
makobdayexchange: (2015)

Sign-ups for this year’s Makoto Birthday Exchange are officially closed and the matching process has begun. :D

If you signed up, please check the email associated with your AO3 account regularly over the next few days in case we need to get in touch with you about your signup. If we try and don’t hear back from you, it may delay assignments going out for everyone (and no one wants that!).

If all goes well, assignments will go out as scheduled by the end of September 23rd (reminder: the exchange runs on Pacific Time).
makobdayexchange: (2015)

Sign-ups for the 2015 Tachibana Makoto Birthday Exchange are closing in just under 36 hours (countdown clock). It’s not too late to join us – we’d love to have you!

The exchange is open to fanart, fancomics, fanfic, and manips centered around Makoto. Despite the name, fanworks don’t have to be birthday-themed. All pairings (het/slash/other; twosome/threesome/moresome) and non-pairings (alone or with friends/family) are welcome.

We’re running things through AO3 this year and you will need an AO3 account to participate. If you don’t have one already, please leave a comment here with your email address (comments are screened) and we’ll be happy to get you set up.  :D

Hi, everyone!

If you’ve signed up for the 2015 Makoto Birthday Exchange, please check the email address associated with your AO3 account.

After reviewing the sign-ups so far, we’ve sent out a number of emails and want to make sure you have enough time to make any necessary edits before sign-ups close on Sunday (September 20th).

If there are still problems with anyone’s sign-up after the 20th, the exchange will be delayed as we try to get things sorted out and ultimately may result in your sign-up being removed. Please don’t let it come to that! If you’re unclear about anything, let us know and we’ll do our best to help you out. ♥

If you don’t see an email from us, your sign-up is fine. If you have any doubts or just want to make sure, leave a comment here (comments are screened) with your AO3 name and we’ll let you know.

Thank you!
makobdayexchange: (2015)
Hi, everyone!

Many thanks to all of you have signed up so far and.or are helping get the word out – we’re excited about the exchange this year and super happy to have you with us! :D

An email went out about this earlier but we thought it would be useful to make a post as well, especially for those who haven’t signed up yet:
We want to encourage you to include some general likes and general dislikes in the Request Details section of your sign-up. You can do so either on the sign-up form itself or by linking to a “Dear Creator” letter.

You may have done this already or are working on it, in which case thank you and well done! If not and to find out why it’s recommended, please read on.

If you’ve done the exchange with us before, you’re familiar with the prompts-based format we’ve used the past two years. We’re probably going back to that next year but for 2015 we’re trying the more common general exchange format. We’re really sorry for any confusion this may have caused. orz

Here’s a clarification on the difference between the two:

For a general exchange (this exchange), you ARE guaranteed these things in the gift you receive:
- all the characters you specify in one of your requests
- a fill of the type you specify for that request

For a general exchange (this exchange), you are NOT guaranteed these things in the gift you receive:
- something filling a specific prompt
- a romantic or sexual relationship between characters
- something with a NSFW rating
- anything else not mentioned in the section above

This also works the other way, of course: as an artist/author you are only required to create a gift of the type your recipient has requested, featuring the characters they requested.

Examples and more under the cut. )

If this does not sound like the sort of thing you want to do, we’ll be very sad to see you go but we will also understand completely. If that turns out to be the case, we sincerely hope you’ll be back with us when the prompts-based exchange returns next year.

If you’re still in, hurrah! We hope you’re looking forward to it as much as we are. :D

Of course if you have any questions or if we can help with sign-ups, don’t hesitate to contact us.

2015 TIMELINE - note: the exchange runs on Pacific Time

Sign-ups: September 4 - 20
Assignments Sent: September 23

Works go live on AO3: November 17

@ao3@tumblr
makobdayexchange: (2015)

Assignments are due November 4, 2015. To avoid time zone confusion, please consult the countdown clock.

Information about posting and about dropping out (defaulting) is below.

Posting Your Fill

Log in to AO3 and go to your Assignments page. Find the assignment marked “2015 Tachibana Makoto Birthday Exchange.” There will be two buttons:

  • To post your fill, click “Fulfill.” This will take you to the page where you can post your work, with the challenge and your recipient’s name already filled in.
  • If you are doing a Party Favors fill, please see the section after this.
Please do not post your work anywhere else until after works are live on AO3. An announcement will be made on DW and tumblr when works are live and you're free to post wherever you like.

Posting Mini-FAQ

  • When I post my fill on AO3, what happens? Does it appear at once or does it stay hidden until Makoto’s birthday?

When you post, the work will be fully visible only to you and the event coordinator (when logged in). To everyone else, it will appear as “Mystery Work by Anonymous,” until the collection goes live.

All fanworks for the exchange will be revealed simultaneously on Makoto’s birthday (November 17th) or when everyone has a completed gift, whichever is later.

  • What if I can’t finish by the deadline?

If you only need a day or two, please contact us to request an extension.

If you don’t think you’ll be able to finish, please default as soon as possible so a pinch hitter may be found. (see “Dropping Out” below)

  • Will I be able to edit my work after posting?

Yes! There are many reasons to edit after posting. We want you to be happy with the final work your recipient sees, so please edit away.

While editing is fine, you should still post a complete work by the deadline. Event coordinators will be going through to identify incomplete/placeholder works. If you haven’t asked for and received an extension, the work will be removed from the archive and the assignment sent to a pinch hitter.

  • What is the “Publication Date” field? Should I change it?

In the Associations section of the posting form on AO3, you will see an option to “Set a different publication date.”

This is the date that shows on the work. It affects how the work appears in the fandom tags once the collection has gone live.

The default publication date is the date of posting, regardless of whether the work is publicly viewable. That means if you post your fill on November 4 (the deadline), it will be several pages back in the Free! tags by the time the collection is live on November 17.

To change that, check the box next to “Set a different publication date” and enter the date you want (November 17). Please note that AO3 does not allow future dating, so you will not be able to change the date until it’s actually the 17th according to AO3. (If in doubt, you can give it a try; if you get an error message, cancel the changes and try again later).

  • I’ve done an art fill. How do I post images on AO3?

1. Upload your image off-site.

AO3 does not have native image hosting yet, so the first thing you will need to do is upload the image elsewhere. You can use a free site like postimage.org, which allows adult content, or another one of your choice; or you can make a private post on a site like tumblr.

NOTE: If you use an account somewhere  (like tumblr, livejournal, deviantart, etc.), be sure to to post privately. Works should not be posted publicly until after the collection is live on AO3.

2. Obtain the direct link or embed code.

Once you have the image uploaded, get the direct link. One way to do this is to use the “view image” option from the context/right-click menu.

Some image hosting sites will give you the option of an “embed code” or an “embed link” after you’ve uploaded the picture. You can also use this.

3. Post on AO3.

If you are using a direct link: In the “Work Text” field, choose the “Rich Text” tab. Click the “insert/edit image” button (7th from the left). Paste the direct link in the pop up form.

If you are using an embed code: In the “Work Text” field, choose the “HTML" option. Paste the embed code.

4. Confirming.

Press “Preview” to make sure it looks the way you want it to. You can edit to make any changed you want.

When you’re happy with how it looks, press “Post”.

  • I have a question you haven’t answered here / I don’t understand one of the answers

No problem — just leave us a comment and we’ll do our best to help!

Posting a Party Favors Fill

1. Go to the page for the 2015 Tachibana Makoto Birthday Exchange (makobday2015).

2. Click the “Post to Collection” button (upper right corner). This will take you to the Post New Work page, with the collection already filled out for you.

3. In the “Associations” section, you will want to put the name of requester whose prompt you did in the “Gift this work to” field. You can find their name from the Requests Summary, if you didn’t write it down.

4. Fill out the rest of the fields as you normally would and hit the “Post” button at the bottom when you’re done.(If you haven’t used AO3 before, it’s fairly intuitive— but feel free to contact us if you need help.)

As with assignment fills, please do not post your work anywhere else until after works are live on AO3. An announcement will be made on DW and tumblr when works are live and you’re free to post wherever you like.

Dropping Out (Defaulting)

Log in to AO3 and go to your Assignments page. Find the assignment marked “2015 Tachibana Makoto Birthday Exchange.” There will be two buttons:

  • To drop out, click “Default.” The event coordinator will get a message and send the assignment to a pinch hitter.

Please note that if you drop out for whatever reason and the person drawing/writing for you also drops, your requests will not go to the pinch hitter list.

If you’re dropping out because you don’t like your assignment, please read these notes:

  • Remember that you do not need to fill a specific prompt. You only need to do a fill of the type requested, using the characters requested. All other details are optional, including relationships and nsfw content/rating.
  • Some people put their general likes/dislikes in their “Dear Creator” letter – so if your recipient included a link, be sure to check that out.

In the spirit of Makoto swimming in the ocean in Season 1, it would be great if you could do your best. But if you simply cannot, please default through AO3 as soon as possible, so we can give the pinch hitter who picks it up as much time as possible.

Assignments for the 2015 Makoto Birthday Exchange are due on November 4. Here is a countdown clock to the deadline

::Notes::

You are only required to fill one of the requests in your assignment in order to complete the assignment. You are welcome to do more than one request or multiple fills for the same request, if you have time and interest (optional; not required).

Please do not talk publicly about what you're working on until after works are live on AO3! It's absolutely okay to say you got your assignment and other general kinds of things, but it would be great if you don't give away whose assignment you got or which prompt you're doing. Some of the fun is the element of surprise, after all (finding out who created something for you and which of your requests they chose to do). :D

If you have any questions for your recipient, please contact us. We'll relay the message to your recipient and get back to you with their response as soon as possible.

::Content Requirements::

  • Your fanwork must  include the characters in the request you choose to fill from your assignment.
  • Your fanwork must be the type specified by your recipient for that particular request.
  • Details and specific prompt requests in your recipient's letter are optional. Having said that, it would be great if you could respect and avoid their dislikes.

::General Requirements::

You are only required to fill one of the requests in your assignment in order to complete the assignment.

These guidelines apply to all fills, regardless of type.
  • original work previously unpublished
  • finished/polished quality
  • standalone (not part of a larger work or series)
  • complete (the whole story should be told)
    • multi-chapter stories are allowed only if all chapters are posted
  • English language only (or, in the case of art/comics/manips, no words)

::Technical Requirements by type::

If you are doing a fill for Party Favors, the bonus round for extra gifts, please note that there is no minimum requirement. All other requirements apply.

Art

  • minimum of 600px per dimension; no maximum

Comics
  • minimum of 3 panels; no maximum

Thank you and happy creating!
makobdayexchange: (2015)
Thank you for your interest in being a pinch hitter for the 2015 Tachibana Makoto Birthday Exchange! Here's some info for you:

What is a pinch hitter?

When a participant drops out for whatever reason, a pinch hitter is someone who steps up and accepts the assignment in their place (sometimes on very short notice). Pinch hitters are absolutely essential to the success of any exchange.

How does pinch hitting work?

Unlike regular assignments, pinch hits are not automatically assigned. Whenever one comes up, it goes out for claiming to all potential pinch hitters on a mailing list. If you’re interested in taking the assignment, you reply to the email. If you're not interested, you don't have to do anything. Pinch hits are assigned on a first come, first served basis.

Do I have to be a participant in the exchange in order to be a pinch hitter?

Definitely not! We'll take anyone who's interested.

So then, how can I join the pinch hitter mailing list?
Leave a comment here with your name and a reliable email address you check regularly. Comments are screened and your email will be kept confidential.

Do I need an account anywhere in particular to participate?
Yes—the exchange is running through AO3 this year, so in order to accept a pinch hit assignment you will need an AO3 account. If you don't have one, you can go here to request a free account or let us know in your comment and we'll set you up with one.

And how much do you love me for signing up to be a pinch hitter?
A lot. So flippin' much, you don't even know!

Just in case you missed it above: to sign up as a pinch hitter, please leave a comment here (all comments are screened) with the following:
  • your name (whatever you want me to call you; including your AO3 name is optional at this point)
  • a reliable email address you check regularly
Thank you! ♥

If you're looking for a beta for your exchange fic or want to help someone else out, you've come to the right place. You are more than welcome to use your own beta, of course! This is just for those want one but aren't sure how to find one on their own or otherwise feel more comfortable doing it this way.

A couple of notes on who can use this post:
  • You do have to be a participant in the Makoto Birthday Exchange to ask for a beta.
  • You do NOT have to be a participant in the Makoto Birthday Exchange to be a beta for someone. :D
If you can't find a beta here, making a post on other site (fandom tagged or to a fandom comm) will usually do the trick.

If you are looking for a beta, please post this information in a comment below:

*In the subject line, please put: I need a beta!

Many thanks to everyone who responded positively to the post about having another fanworks exchange for Makoto’s birthday this year.

It seems like there is interest, so we’ll be going ahead with it again! Please look forward to details in a couple of weeks. :D

In the meantime, it’s worth mentioning that you’ll need an AO3 account to participate this year. If you don’t have one, you can go here to request a free account.
makobdayexchange: (generic)
Hi, everyone!

We’re starting to think about this year’s exchange and, as you may have guessed from the title, the big question is whether or not there’s interest in doing it again.

It would be wonderful to have a third year for the exchange and we’d love to do it if people want it! But if not, we’re completely okay with stepping aside and letting other events celebrate Makoto’s birthday.

If there is a 2015 fanworks exchange, it’ll be a traditional one on AO3. so that means sign-ups would be 100% through AO3 and matching would be done automatically by the system, based on type of fanwork (art or fic) and characters involved. You’ll still be able to provide specific details for prompts/likes, of course. While matching is not done based on these details and they are considered optional for whoever gets the assignment, artists and authors almost always try to give you something you want.

As in past years, the exchange will be open to fanart, fancomics, and fanfic centered around Makoto. Despite the name, fanworks don't have to be birthday-themed. all pairings (het/slash/other; twosome/threesome/moresome) and non-pairings (alone or with friends/family) are welcome.

If this sounds like something you think you’d want to do, please reply to this post (the anonymous option is on, as always) or send us a message. Expressing interest is not a commitment; this is just an informal poll to get an idea of whether it’s worth going ahead.

And definitely let us know if you have questions about anything.
