Happy Makoto’s Birthday, everyone!

Thanks to this year’s participants and our rockstar pinch hitters, all the birthday fanworks created for the exchange are now live on AO3!

So far we have 69 works of Makoto-centric art, comics, fic, and manips for you to enjoy. With a wide range of characters/pairings, genres, and ratings, there’s sure to be something for all Makoto fans! We hope you’ll come over when you have a chance and check it out.

And it’s not too late to join in on the fun! Party Favors, the free-for-all bonus round open to everyone (whether or not you were an original participant), is running now through November 24th.



Two notes for main round participants:

You are free to crosspost your work anywhere you like now! (Mention of the exchange and/or a link to the collection on AO3 would be much appreciated, so more people can enjoy all the excellent fanworks.)

Please be sure to leave kudos/comments for your gifter, even if you defaulted. Regardless of your situation, your gifter worked really hard for you and would love to hear from you!

A reminder for those of you who are still polishing/revising/adding to your fills for the main round of the 2014 Makoto Birthday Exchange:

The hard deadline for the main round is midnight PT on November 16. That’s about 35 hours from now, at the time of posting. Please note that midnight is the start of the day, not the end (so realistically you have until end of day on the 15th).

To avoid any and all confusion, here’s a COUNTDOWN CLOCK.

Here’s what’s coming up:

  • I’m checking all art fills to make sure the images appear. If your image link isn’t working, I’ll contact you at your AO3 email to try to help. (If you have placeholders but I can see them, I’m considering that fine for now.
  • There will be an upcoming announcement, probably on the weekend, about how Party Favors will work this year as well as information about the final editing deadline.

There will be a big post with a lot of information in the next day or so, once everything is settled with pinch hits, so please keep an eye out for that.

In the meantime, here’s a clarification on editing after the deadline:

Your finished, polished work should be up on AO3 by the time the collection goes live, which will happen when (1) everyone has a gift and (2) it is the 17th somewhere in the world.

Technically you’ll be able to edit after that and whenever you want, but that’s the point at which your recipient (and others) will be able to see/read the work.

The big info post will include a suggested editing deadline and countdown clocks, to avoid any time zone confusion.

(Look for a post about the editing period after the deadline has passed, once I’ve had a chance to get a handle on how things stand with pinch hits.)

By pressing “Fulfill” and posting, you are promising that you have finished the best possible version of the gift you are giving, or that you will finish it by the pinch hit deadline.

Please think carefully before using this option. There are no extenuating circumstances or acceptable excuses once the deadline has passed. Be aware that if you suddenly become unable to finish after the deadline, you will be putting the pinch hitter and the exchange itself in a bad position.

Hi, guys!

I’m concerned that a couple of you may be posting in a way that will end up defaulting you.

Currently, there are 23 works in the archive but only 21 assignments have been completed, according to AO3.

Unfortunately I can only see works from the “completed assignments” page, so I have no way of figuring out what the discrepancy is. My best guess is two participants have posted the first chapter of a multi-chapter work, which makes the assignment look incomplete.

If you are posting a multi-chapter work, please be sure that it appears as complete by the deadline!

In other words, if you have checked the box for “This work has multiple chapters” in the “Associations” section, be sure that you put the number of chapters you have actually posted.

You can always change the number in that box during editing, if you need/want to add another chapter.

Here are some basic text instructions:

1. Upload your image off-site.

AO3 does not have native image hosting yet, so the first thing you will need to do is upload the image elsewhere. You can use a free site like postimage.org, which allows adult content, or another one of your choice; or you can make a private post on a site like tumblr.

NOTE: If you use an account somewhere  (like tumblr, livejournal, deviantart, etc.), be sure to to post privately. Works should not be posted publicly until after the collection is live on AO3.



2. Obtain the direct link or embed code.

Once you have the image uploaded, get the direct link. One way to do this is to use the “view image” option from the context/right-click menu.

Some image hosting sites will give you the option of an “embed code” or an “embed link” after you’ve uploaded the picture. You can also use this. 


3. Posting on AO3.


Log into your AO3 account, go to your “Assignments” page (linked in the side menu of your dashboard), and find the Makoto Birthday Exchange.

Press “Fulfill”. This will take you to the page where you add your work. The collection and recipient fields will be filled out already. Fill out the other fields (self-explanatory; note that many of them are optional, so it’s up to you how much to include).

If you are using a direct link:

In the “Work Text” field, choose the “Rich Text” tab. Click the “insert/edit image” button (7th from the left). Paste the direct link in the pop up form.

If you are using an embed code:
In the “Work Text” field, choose the “HTML” option. Paste the embed code.


4. Confirming

Press “Preview” to make sure it looks the way you want it to. You can edit to make any changed you want.

When you’re happy with how it looks, press “Post”.

What is a pinch hitter?
When a participant drops out for whatever reason, a pinch hitter is someone who steps up and accepts the assignment in their place (sometimes on very short notice). Pinch hitters are absolutely essential to the success of any exchange.

How does pinch hitting work?
Unlike regular assignments, pinch hits are not automatically assigned. Whenever one comes up, it goes out for claiming to all potential pinch hitters on a mailing list. If you’re interested in taking the assignment, you reply to the email. If you're not interested, you don't have to do anything. Pinch hits are assigned on a first come, first served basis.

Do I have to be a participant in the exchange in order to be a pinch hitter?
Definitely not! We'll take anyone who's interested.

Assignments for the 2014 Tachibana Makoto Birthday Fanworks Exchange have gone out. Please check the email you use for AO3 (you can also see your assignment from the “Assignments” link in the side menu of your AO3 account).

If you don’t see anything in the next few hours, please get in touch with your AO3 name and I’ll try resending it

You should have received an assignment from your “prefer” list. Please check and make sure that’s the case; if not, email me as soon as possible. (If the link is directing you to a mail client you don’t use, that’s an issue with your browser settings. You can hover over the link to see the email address and copy it.)

Please note that changes in assignments are not possible at this point. If you received an incorrect assignment (not if you changed your mind but if it’s something not from your matching request lists), that assignment will go to the pinch hitter list. You will also be added to the list so you have an opportunity to do a fill if one comes up that matches your interests.

Let’s hope no one is in that situation, though!

By popular request, this year we're experimenting with having a dedicated pool of beta readers. You are more than welcome to use your own beta, of course! This is just for those want one but aren't sure how to find one on their own or otherwise feel more comfortable doing it this way.

MATCHING REQUESTS MINI-FAQ

1. Do I have to do this part?

Yes, this is an official part of the sign up. If you don't complete this step, we don't have any way of knowing what you would and would not be willing to do, so unfortunately we will have to drop you from the exchange.
 

2. For the list of prompts we want to take (the “prefer to take” list), is it possible to state a preference level with them?  For instance, a list of prompts we especially want to do and a second list of prompts we would still be interested in taking but not as interested as the first group?

Yes! You can divide your list into “most preferred” and “next preferred” tiers, with a list within each tier; the combined total just has to meet or exceed the minimum number.

Whether or not you choose to use tiers, you can also rank-order your list (with your first choice at the front/top of the list).


3. Can I just tell you what I do and don’t like in general?

Short answer: No. Please do not do this.

Long answer: Well, that would have been one way to go—but it would have relied on some mindreading and guesswork on my part. I thought it would give a happier outcome if everyone got to see the exact, specific prompts and make decisions based on the details, since I’m pretty sure you all know yourselves better than I do. :D

To that end, please list participant names in your reply; please do not make generalizations of the kinds of things you do or don’t like. (Experience tells me we’ll all be happier this way; in the past, I’ve done what I thought was a perfect match based on the info and generalizations, only to have the participant drop out because they hated the assignment. orz)
 

4. Am I guaranteed my top choice or something from my "Prefer To Take" list?

I will do the best I can to give you something off your "prefer" list. If I can't, I will contact you through AO3 to work something out. I've never had to do this but, just in case, I don't want to make promises I may not be able to deliver on. Your understanding is greatly appreciated!


5. I don't understand what to do.
